We are seeking an experienced, detail-oriented, and client-focused Tax Administration & Operations Manager to join our growing Tax Administration and Operations team. Reporting to the Managing Director, Solutions Operations, this individual will serve as a key operational leader responsible for overseeing the tax return pipeline, coordinating client onboarding, maintaining critical tax data, and supporting process improvement initiatives across the department. Primary Responsibilities
· Manage and oversee the tax return pipeline, ensuring timely progression of client engagements from onboarding through filing and delivery.
· Serve as a primary point of contact for clients, advisors, and internal stakeholders, providing proactive communication and exceptional service throughout the tax engagement lifecycle.
· Coordinate and manage client engagement, including account setup, workflow creation, document collection, client service and status questions from clients and advisors.
· Monitor return status, filing deadlines, extension requirements, e-file acceptances, and outstanding deliverables to ensure timely completion of tax engagements.
· Maintain, organize, and analyze tax-related data to support operational reporting, workflow management, capacity planning, and decision-making.
· Partner with tax professionals, advisors, and operations teams to resolve workflow challenges, prioritize work, and improve service delivery for internal stakeholders as well as clients.
· Support and lead operational projects focused on process improvement, technology enhancements, workflow optimization, and team scalability.
· Assist in change management initiatives, helping teams adopt new processes, technologies, and best practices to support firm growth.
· Develop and maintain operational dashboards, reports, and tracking mechanisms to provide visibility into pipeline performance and key operational metrics.
· Identify opportunities to enhance efficiency, accuracy, and overall client experience through continuous process improvement.
· Train and mentor team members on operational processes, workflow tools, and client service standards.
· Collaborate with Wealth Management, Compliance, Finance, Marketing, and other internal departments to support cross-functional initiatives and strategic objectives.
· Assist leadership with special projects, integration efforts, capacity planning, and operational initiatives that support the continued growth of the tax practice.
· Assist with operational and administrative functions of the tax practice, including document scanning, workflow processing, data management, return packaging, shipping, and other client service support activities as needed.
Qualifications
· 5+ years of experience in tax administration, tax operations, client service, workflow management, project coordination, or a related role within public accounting, wealth management, financial services, or a professional services organization.
· Demonstrated experience managing high-volume workflows, return pipelines, client onboarding processes, operational initiatives, or similar.
· Strong client relationship management skills with a proven ability to communicate effectively with diverse stakeholders.
· Experience participating in or leading projects involving process improvements, technology implementations, system enhancements, or organizational change.
· Strong analytical, and data management skills with the ability to identify trends and make informed recommendations.
· Excellent organizational and project management abilities, with a proven capacity to manage multiple priorities and deadlines simultaneously.
· Strong interpersonal and communication skills, with the ability to build relationships across all levels of the organization.
· Adaptable and growth-oriented mindset with a desire to take on increasing responsibility and pursue leadership opportunities within a rapidly expanding firm.
· Bachelor's degree preferred.
· Advanced proficiency in Microsoft Office Suite, particularly Excel, Outlook, and PowerPoint.
· Experience with tax workflow software, and practice management tools preferred.
This position is an exempt position. The annualized base pay range for this role is expected to be between $80,000 - $95,000 per year base salary compensation range. Actual base pay may vary based on factors including, but not limited to, experience, subject matter expertise, geographic location where work will be performed, and the applicant’s skill set. The base pay is just one component of the total compensation package. Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k).
