Shift: Monday-Friday, 12pm - 9pm
The Billing Analyst will be responsible for all aspects of client billing including bill preparation, research, analysis, and reporting related to billing, implementing client billing guidelines, special billing arrangements and special assignments.
Job duties

*Generate and distribute prebills/proformas, assist with month end processing, draft correspondence, perform time and expense transfers and edits, generate reports, manage timeliness of billing, allocate unapplied funds, perform write-offs, cancellations, and post and mail invoices. *Prepare attorney/client invoices, including but not limited to fixed fee, batch, retainer, contingency, etc. *Ensure accuracy of work product, determine appropriate bill formats, prepare spreadsheets or supplemental billing documents, manage client billing requirements/guidelines, understand firm/client fee arrangements, prepare bills for electronic processing, coordinate necessary client/matter changes *Perform time entry narrative edits and best practice proofreading *Assist customers with billing inquiries, troubleshoot issues and follow-up with operational areas *Review and edit time entries to ensure compliance with client guidelines Create and maintain required spreadsheets to track/monitor various functions as needed. Special projects as assigned. Ensure all client specific needs are met regarding billing processes, alternative billing arrangements, etc. while adhering to Williams Lea policies.
Associates Degree or advanced degree preferred with concentration in Business, Accounting, or Finance. Commensurate experience may be considered in lieu of education, based upon candidate’s overall employment history Minimum two years of billing experience in a law-firm or professional organization required Experience working with client Document Management Systems (DMS) Ability to create spreadsheets, manipulate data and generate reports Detail oriented with excellent organizational and time-management skills Ability to multitask and meet stringent deadlines in a fast-paced environment Ability to work effectively in a team environment as well as taking ownership for individual assignments Excellent verbal and written communication skills with ability to effectively present results to senior management Ability to perform well in cross-functional environment and to interface effectively and successfully with senior management, vendors, and client staff Ability to professionally handle matters of a sensitive nature with confidentiality Advanced knowledge of Microsoft Office products, with a strong background in Excel Experience with Aderant or Elite/Elite 3E and/or business intelligence products strongly preferred 10-key calculator proficiency strongly preferred
The pay range for this role at the noted RRD location is $25/hour to $36.97/hour. Typically, roles follow step progressions to a target rate or set increments over time. Depending on the role, in addition to the hourly rate of pay, the total compensation package may also include overtime, shift differential, call-in, and/or stand-by pay. The Office Services Associate is responsible for adding value in providing daily back office services for our client and teams. Services include but are not limited to reprographics (copy) and mail services in both physical and digital environments, with support for services in hospitality, facilities, audio/visual, reception, and other Williams Lea service lines as needed.

Proven customer service skills are required in order to create, maintain and enhance customer relationships. Good written and verbal communication skills, including professional telephone and email etiquette. Attention to detail with good organizational skills. Must be able to meet deadlines and complete all projects in a timely manner. Ability to handle sensitive and/or confidential documents and information. Able to make independent decisions that conform to business needs and policy. Good problem-solving skills, with the ability and understanding of when to escalate a problem to a supervisory level. The Collections Analyst will assist in managing day-to-day collections operations for firm partners and will establish and maintain a system of monitoring and encouraging cash receipts. This involves getting all billing admins and Billing Attorneys to focus on collections, to include follow- up.

*Responsible for monitoring and collection of outstanding invoices through direct contact and follow-up with each partner and client as assigned and pursuant to firm policy to ensure timely remittance.
*Generate and/or revise monthly client reminder statements as outlined pursuant to firm policy and departmental procedures.
*Provide reports reflecting accounts receivable analyses, DSO, potential and existing bad debt reserves, agreed upon metrics and key performance indicators based on established frequency or as requested.
*Provide budgeting, forecasting and ad hoc reporting specific to client needs, including participating in meetings with firm management.
*Work closely with senior management and report on daily activities to resolve issues before they impact collections results.
*Create estimates of projected collections and adhere to client deadlines; provide rolling updates regularly throughout the month.
*Prepare documents for write-off of accounts receivable adhering to the firm’s approval policy.
*Assist in transitioning matters handled by departing attorneys to other attorneys of the Firm; determine which matters are inactive to facilitate matters to be closed where appropriate; work with the departed attorney to collect open invoices.
*Research and monitor unapplied payments.
*Monitor payment arrangements to ensure compliance with payment terms.
Develop strong working relationships with assigned Partners to provide best in class customer service support for all related client collection needs.
Identify problems or issues in processes and implement solutions bringing bottom line results.
Meet or exceed all assigned deadlines.
The daily make-up of tasks for this position may vary depending on the client or department’s needs.
