MUST:
Have a working computer and wifi to be able to work from home.
Previous healthcare administrative, HR, medical office, credentialing, compliance, or records experience preferred.
Experience working with confidential employee or patient information.
Familiarity with HIPAA, privacy requirements, and handling sensitive information.
Strong Microsoft Office skills, particularly Excel, Word, Outlook, and document management/scanning systems.
Previous experience with scanning, indexing, filing, or electronic document management.
Strong attention to detail and excellent organizational skills.
Comfortable working with both paper files and electronic records. Ability to navigate through large amounts of information and determine what is missing or needs to be located.
Strong communication and interpersonal skills.
Able to work independently and use good judgment.
DUTIES:
We are seeking a smart, organized, flexible, and detail-oriented Administrative Specialist to support a healthcare organization with a personnel file and document scanning project.
This person will work with Human Resources and office staff to locate, review, organize, and scan HR and compliance-related documents that may be missing from electronic personnel files. The ideal candidate will have a healthcare background and understand the importance of HIPAA, confidentiality, privacy, and handling sensitive employee information.
Review electronic and paper personnel files to identify missing or incomplete documentation.
Scan and electronically organize HR, compliance, credentialing, and other personnel-related documents.
Ensure documents are properly labeled, organized, and associated with the appropriate employee/file.
Work to locate missing documentation.
Maintain detailed Excel spreadsheets tracking files reviewed, documents located, documents scanned, and outstanding items.
Maintain strict confidentiality when handling employee and healthcare-related information.
Follow HIPAA, privacy, confidentiality, and organizational policies when handling sensitive records.
Identify duplicate, outdated, incomplete, or improperly filed documents and bring issues to the appropriate HR contact.
Communicate professionally with office managers, HR personnel, and other staff to obtain information and resolve missing-document issues.
Help establish an organized and consistent process for scanning and maintaining personnel documentation.
