We are seeking an Administrative Assistant to support leaders and teams with a broad range of administrative and operational needs. This role is well suited for someone who can manage competing priorities, coordinate work across departments, and help keep daily activities organized and on track. The position offers the opportunity to build knowledge across several business functions and take on greater responsibility over time.
Responsibilities
- Support company leaders and multiple departments with day-to-day administrative and operational needs.
- Manage calendars, meetings, scheduling requests, preparation materials, notes, and follow-up tasks.
- Create and update reports, spreadsheets, presentations, correspondence, and other business documents.
- Track projects, deadlines, and action items while maintaining accurate electronic and paper records.
- Handle incoming calls, greet visitors, direct inquiries, and assist with general office coordination.
- Support shipment tracking, return requests, shipping estimates, claims, and delivery-related questions.
- Prepare and organize shipping forms and supporting records for parcel, freight, and international orders.
- Communicate with customers, internal teams, carriers, and outside service providers to resolve shipping matters.
- Assist purchasing, customer service, billing, and payment-related teams with routine administrative work.
- Maintain office supplies and help coordinate internal events, communications, and special assignments.
Qualifications
- 2–5 years of experience in administrative, office, operations, or coordinator support.
- Previous experience assisting multiple leaders, departments, or business functions.
- Working knowledge of Microsoft 365, including Outlook, Excel, and Word, at approximately an intermediate level.
- Experience coordinating schedules, producing documents, maintaining records, and tracking open items.
- Ability to support a varied workload that may include phones, visitors, shipping requests, office needs, and customer inquiries.
- Clear and professional written and verbal communication skills.
- Ability to organize competing priorities, meet deadlines, and maintain accurate work.
- Comfort learning processes across purchasing, customer service, shipping, and basic accounting support.
- Willingness to complete cross-training and gradually take ownership of responsibilities across the organization.

Description:
Provide comprehensive administrative support to the Site Leadership Team (SLT) in addition to supporting sitewide activities. The role serves as a trusted partner helping ensure efficient operations, strong stakeholder coordination, and timely execution of key business activities
- Coordinate calendars, agendas, and meeting room logistics for the Site Leadership Team (SLT) members as assigned.
- Serve as a point of contact for internal and external stakeholders, handling communications with discretion and sound judgment. Maintain confidential business information and handle sensitive matters with a high level of discretion.
- Coordinate leadership events, off-site meetings, town halls, lunches/dinners and other business activities.
- Maintain the site email distribution lists and site calendar to ensure they are up to date.
- Perform payroll administration tasks, including maintaining timekeeping records, reviewing employee hours for accuracy, coordinating approvals, and ensuring payroll data is submitted on time in compliance with company policies. Improve administrative workflows and office processes to increase efficiency and support business objectives.
- Manage inventory of office supplies for both building 40A and 40, and ensure the appropriate 5S and housekeeping is maintained in the storage closets and conference/huddle rooms.
- Prepare correspondence, presentations, reports, agendas, and meeting materials with accuracy and professionalism. Support meetings by organizing agendas, taking notes, tracking action items, and following up on deliverables.
- Manage usage of corporate credit card and meeting card in compliance with company policy. Assist with budget tracking, invoice processing, purchase requests, and other administrative processes as needed.
- Work cooperatively with the other Administrative Assistant to provide support and coverage as needed.
- Perform other assigned duties and projects as needed.
Education:
- HS Diploma required; Associates or Bachelors degree is preferred.
- Five or more years of administrative support experience, preferably supporting senior leaders in a fast-paced business environment.
- Strong proficiency in Microsoft Office applications, especially Outlook, Word, PowerPoint, and Excel.
- Ability to utilize AI tools such as Gigi or Co-Pilot.
Related experience:
- Previous payroll experience is preferred including timekeeping systems such as Kronos or Workday.
- Excellent written and verbal communication skills, strong organizational ability, problem solving, and attention to detail.
- Ability to exercise sound judgment, maintain confidentiality, and build effective working relationships across all levels of the organization.

ESSENTIAL FUNCTIONS:
Secretarial Responsibilities: (100%) Provides highly skilled secretarial services to Skills Advancement Coaching Program and the Program Director.
· Collects and tabulates statistics for inclusion in required reports each week. Submits weekly and monthly reports as needed, via Excel or Word.
· Responsible for payroll and maintains an accurate record of staff vacations, sick time and other accrued time. Enters this information into the computer system/BHCP calendar. Keeps the Director aware of schedules for all PTO, including updated bank of PTO for all employees.
· Maintains contact with Skills Advancement Coaching staff to obtain timecards, reports, schedules, etc.
· Obtains and prepares all requests for reimbursement/payment for the Skills Advancement Coaching program. This includes mileage/internet/cell phone reimbursement. All requests for payment for trainings/consultants. Provides finance all supplemental documentation to verify payment. Maintains collection of each Skills Advancement Coaching personnel’s continuing education verification.
· Completes and submits a monthly expense report to maintain the program’s budget.
· Completes and submits a monthly HR spreadsheet to ensure all administrative documents are up to date.
· Develops and maintains a database of each Skills Advancement Coaching personnel’s car insurance and sends weekly reminders one month prior to expiration. Submits insurance to HR and keeps file of all Skills Advancement Coaching personnel’s insurance.
· Assists Associate Director in preparing for new hires.
· Maintains and distributes all new hire materials, including reading materials and other required materials. Obtains and maintains a signature page for each item given to each screener in a master file for return upon termination.
· Completes and tracks supplies. Keeps a log on each Skills Advancement Coaching personnel entering/leaving the program and all necessary items to be returned. Maintains a file for each Skills Advancement Coaching Personnel with any supplies in current possession. Maintains and re-orders supplies on a timely basis with prior Director approval.
· Assists with data collection
· Participates in committee work to ensure trauma-informed approaches to departmental work and address team satisfaction and cohesion.
· Uses computer skills to maintain databases for Skills Advancement Coaching Program (including Excel) to format presentations in power point, to track metrics, productivity data, coaching sessions scheduling and other data as required.
· Types letters, reports, meeting minutes, and other information as requested. Responsible for organizing and typing projects as needed. Xeroxes reports, articles, evaluations, etc. for the Skills Advancement Coaching Program.
