Overview
The Championships and Sport Administration Coordinator is a benefits-eligible, 10 month term-funded position based in Princeton, New Jersey. Reporting to the Senior Associate Executive Director and Assistant Executive Director for Championships and Sport Administration, this role supports the planning, coordination, and execution of Ivy League championship events and assists with a variety of sport administration and office operations functions.
The Coordinator plays a key role in delivering high-quality championship experiences for student-athletes, coaches, and spectators by supporting event logistics, communications, budgeting, and on-site operations. The position also assists with sport administration activities, including awards programs, officiating, scheduling, policy implementation, and communications with member institutions and constituent groups. Additionally, the Coordinator provides operational and administrative support for League initiatives, meetings, and special projects.
This position is ideal for an organized, detail-oriented professional interested in gaining broad experience in collegiate athletics administration, championship management, and conference operations within a collaborative and fast-paced environment.
Responsibilities
Championships Coordination 50%
Contribute to ensuring the successful management, coordination and execution of League championships, creating a positive experience for student-athletes, coaches and spectators;
Assist with preparations for Ivy League championship events, including tasks related to, for example, championship manuals, facility arrangements, budgets, officials, entries and forms, signage/branding, awards, merchandise, and hospitality.
Assist with communication and coordination with host institutions and neutral sites;
Coordinate aspects of staff travel to championships, such as hotel and vehicle reservations;
Serve as an on-site administrator for championships as assigned;
Assist with reconciling the event budget and other fiscal matters for designated championships;
Sport Administration 35%
Assist with Ivy League office administration of various sports, including awards, officiating, scheduling, and implementing Ivy League policies and procedures.
Assist with compiling information, writing reports and preparing materials regarding sport-specific Ivy League and NCAA issues.
Assist with the administration of the League awards program;
Draft communications to various constituent groups, including coaches, officials, campus administrators.
Assist with and attend designated coaches’ annual business meetings
Office Operations 15%
Assist with various office operations, including arrangements for staff meetings, preparing meeting materials, updating databases, filing and other record keeping, and other duties as assigned.
Qualifications
Essential Skills/Requirements
Bachelor’s Degree
Strong interpersonal and organizational skills, attention to detail and accuracy
Interest in and experience working in intercollegiate athletics
Ability to manage multiple responsibilities in a fast-paced environment working independently with minimal guidance and supervision
Availability to travel and to work during weekends and evenings.
Strong knowledge of MS Office and Adobe Acrobat software (e.g., Word, Excel, PowerPoint)
