Job Title:
Skincare Data Research VA — Product & Seller Database Entry (Google Sheets)
Overview:
I am building a skincare product search app that helps consumers identify authorized sellers and avoid counterfeit products. I need a detail-oriented VA to research and enter product and seller data into a structured Google Sheet following a specific classification system.
This is ongoing work. Initial phase is 40+ hours. Reliable, accurate VAs will be considered for ongoing monthly maintenance work.
This starts as a paid test batch of 5 brands. If your work is accurate and communication is clear, this becomes ongoing work covering 50+ brands with monthly maintenance. We are looking for a long-term VA, not a one-time hire.
What You Will Be Doing:
Tab 3 — Products
I will have already completed Tab 1 (brands) and Tab 2 (authorized retailers). Your job is to look at the brands listed in Tab 1 and research their top products.
For each brand find ALL products currently sold on the brand's official website. Enter every active, full-size retail product. Work through the brand's product catalog systematically — do not cherry-pick or stop at a certain number. Use the brand's own website.
All full-size retail products currently listed as active on the brand's official website
All size variants of the same product if they have different prices — enter each size as a separate row with a unique slug. Example: la-mer-creme-50ml and la-mer-creme-100ml
For each product enter:
brand — copy exactly from Tab 1
product_name — official product name from the brand's website
slug — lowercase, hyphens only, no spaces, maximum 60 characters. Format: brandslug-productname. Example: skinceuticals-ce-ferulic
msrp — the price listed on the brand's own website. Not a retailer's sale price. Not Amazon's price. The brand's own listed price.
product_type — choose exactly one from this list: serum, moisturizer, spf, cleanser, toner, exfoliant, eye, treatment, mask, oil, mist, spot_treatment, lip, body, primer
size_oz — product size in ounces as listed on the brand's website
key_ingredients — 3 to 6 hero active ingredients only, lowercase with underscores, comma-separated. Examples: vitamin_c, niacinamide, hyaluronic_acid, retinol, salicylic_acid. Do not list filler ingredients like glycerin or water.
skin_concerns — choose from this list only: brightening, anti_aging, hydration, acne, pores, dark_circles, firmness, even_tone, redness, sensitivity, sun_protection, repair, antioxidant, plumping, oil_control, hyperpigmentation, fine_lines, texture, barrier. List 2-4 that best describe what this product is designed to treat.
skin_types — choose from this list only: all, normal, dry, oily, combination, sensitive, acne_prone. Use "all" for products that work for every skin type. Do not combine "all" with other types.
asin — find this in the Amazon URL when you search the product on Amazon. Format is the 10-character code after /dp/ in the URL. Example: B001BOB9MM. Leave blank if the product has no Amazon listing.
upc — leave blank entirely. Not needed.
is_featured — leave blank. I will fill this in.
notes — leave blank. I will fill this in.
Tab 4 — Sellers
For each product in Tab 3 (products) find every place it is sold online and classify each seller.
First open Tab 2 (brand_authorized_retailers) — this shows you which retailers are authorized for each brand. This is your primary reference for classification.
For each product Google "[product name] buy" and check the top 10 results. For each seller you find enter one row:
product_slug — copy the slug exactly from Tab 3 for this product
seller_name — the retailer's name as it appears on their website
seller_slug — lowercase, hyphens only, no spaces, max 40 characters. Must be identical every time the same retailer appears. Dermstore is always "dermstore" — not "dermstore-com" or "Dermstore"
seller_url — the direct URL to this product on the seller's website
affiliate_url — leave blank. I will fill this in.
tier — classify using these rules:
1 = Brand's own official website only
2 = Major national retailer confirmed in Tab 2 (Sephora, Ulta, Dermstore, Nordstrom, Target)
3 = Smaller online retailer confirmed in Tab 2
4 = Amazon ONLY when listing says exactly "Ships from and Sold by Amazon.com"
5 = Not in Tab 2 AND price within 20% of MSRP
6 = Not in Tab 2 AND price more than 20% below MSRP
If unsure — leave blank and add a note. Never guess.
amazon_seller_type — for Amazon rows only: 1P if sold by Amazon, 3P_authorized if seller is listed in Tab 2, 3P_unauthorized if not. Leave blank for all non-Amazon sellers.
tier_reason — one sentence explaining why you assigned this tier. Examples: "Confirmed in Tab 2 as authorized retailer" / "Amazon listing shows Ships from and Sold by Amazon.com" / "Not in Tab 2, price 15% below MSRP"
list_price — the current price shown on the seller's website for this product
ships_free_threshold — the minimum cart value for free shipping. Enter 0 if always free (Amazon Prime), 35 if free over $35, 50 if free over $50. Leave blank if the seller never offers free shipping.
ship_speed — enter exactly one of: Prime, 3-5 days, 5+ days
seller_rating — find this on Google Maps or Google Search for T1/T2/T3 sellers. Find on Amazon seller feedback for T4. Find on Trustpilot or SiteJabber for T5/T6. Enter as a number out of 5.
seller_rating_source — where you found the rating. Enter exactly one of: Google reviews, Amazon seller feedback, Trustpilot, SiteJabber
is_verified — leave blank. I will fill this in.
warning_text — leave blank. I will fill this in.
price_variance_flag — leave blank. I will fill this in.
last_verified_date — today's date in YYYY-MM-DD format
review_frequency — leave blank. I will fill this in.
Tab 5 — Coupons
Search for active coupon codes for every retailer in Tab 4. Check RetailMeNot, or just type in "brand + coupon code" or "brand + sale", the retailer's own homepage, and the retailer's email signup offer. Only enter codes you have personally tested and confirmed work.
seller_slug — copy exactly from Tab 4. Must match exactly.
code — the coupon code exactly as it appears
description — plain English description. Example: "Dermstore — 15% off full order"
discount_type — enter exactly one of: pct, fixed, gwp, free_shipping
discount_value — the number only. For pct enter 15 for 15% off. For fixed enter 20 for $20 off. For gwp and free_shipping enter 0.
min_order_value — minimum cart value required. Enter 0 if no minimum. Enter 50 if minimum $50 order required.
product_slug — leave blank if the coupon works on any product from this retailer. Only fill in if the coupon applies to one specific product.
is_active — TRUE if you confirmed the code works today. FALSE if it is expired.
verified_at — today's date in YYYY-MM-DD format
expires_at — expiry date in YYYY-MM-DD format if known. Leave blank if no stated expiry.
notes — leave blank. I will fill this in.
Rules You Must Follow:
Never classify a seller as T1, T2, or T3 unless you have confirmed they appear in Tab 2. If a retailer is not in Tab 2 they are T5 or T6 — no exceptions.
Never classify an Amazon listing as T4 unless the listing page says exactly "Ships from and Sold by Amazon.com." Any other seller name on Amazon is T5 or T6.
Never enter a coupon code you have not personally tested today.
Never delete any row. If something is wrong add a note and flag it for review.
Never invent a slug. Slugs are lowercase, hyphens only, no spaces. The same retailer must always use the exact same seller_slug across all rows.
When in doubt leave the field blank and flag it with a comment. Guessing wrong costs more time to fix than asking.
Skills Required:
Strong English reading comprehension
Comfortable navigating e-commerce websites
Detail-oriented with zero tolerance for inconsistency
Experience with Google Sheets
Basic understanding of skincare brands is a plus but not required
Experience with product research or data entry preferred
What I Provide:
Pre-built Google Sheet with instructions tab, sample data in every tab, and color-coded formatting
Tab 1 and Tab 2 fully completed before you start
Written instructions tab inside the sheet covering every field
Available to answer questions via messages/call/whats app/etc.
Clear milestone checkpoints — I review your work after every 5 brands before you continue
Payment Structure:
Hourly preferred. Estimate 2-3 hours per brand covering products, sellers, and coupon research. Starting with 10 brands as a test batch. Ongoing work available for reliable candidates.
To Apply Include:
One example of a data entry or research project you have completed
Your hourly rate
Confirm you have read the instructions by naming the three ship_speed options in your application
